Apprentice Coordinator Assistant

The Apprentice Coordinator Assistant will primarily work in support of the Fund’s Apprentice Coordinator, but may also work with or report to Instructor(s), the third-party administrator, and the Board of Trustees to:

  • Assist the Apprentice Coordinator and Instructor(s) with administrative tasks related to the efficient operation of the Apprenticeship Program;
  • Assist the Apprentice Coordinator and Instructor(s) with registering for and scheduling recruitment events;
  • Assist in maintaining a log of applications that have been distributed and receiving and logging completed applications for the Apprentice Coordinator’s review;
  • Ensure new apprentices have signed the Apprenticeship Agreement and provide a copy to the Apprentice, the Chair and Secretary, the Registration Agency, the employer, and the Union;
  • Assist with maintaining and updating each Apprentice’s record in the Registered Apprenticeship Partners Information Management Data System (RAPIDS);
  • Assist with tracking the probationary period of new apprentices;
  • Provide written notice to the Chair and Secretary, employers, the Union, and the Apprentice when each Apprentice has become eligible for an increase in wages due to successful completion of a period of apprenticeship training and sufficient work;
  • Assist the Apprentice Coordinator and Instructor(s) with preparing a report of the following information for each Apprentice:
    • Name
    • Office of Apprenticeship (DOL) ID Number
    • Date of initial registration in the program
    • End of Probationary period
    • Credit for previous experience, if any
    • Total Hours worked (broken out by type)
    • Total Class hours (broken out by type)
    • Current Employer
    • Current wage rate
    • Expected completion date
    • Progress toward completion
    • Summary of Journeyworker evaluations
    • Disciplinary actions, if any
  • Assist the Apprentice Coordinator and Instructor(s) working with the Union and employers to have apprentices transferred from one employer to another;
  • Make periodic reports to the Apprentice Coordinator and Board of Trustees as directed by the Apprentice Coordinator;
  • Identify and apply for grants and other support opportunities for the benefit of the Apprenticeship Program; and
  • Assist the Apprentice Coordinator in obtaining certificates of completion, issued by the U.S. Department of Labor, Bureau of Apprenticeship and Training, Detroit, Michigan, to each Apprentice who successfully completes the apprenticeship program.

Minimum Qualifications: Applicants must have:

  • Direct experience working in small office administration; and
  • The ability to pass a background check and be able to be bonded under the rules and regulations of ERISA.

Preferred Qualifications: Applicants should have:

  • Familiarity with basic computer software such as Microsoft Outlook, Microsoft Word, Microsoft Excel, and software used by third party administrators;
  • Familiarity with RAPIDS;
  • Knowledge of multiemployer funds and collective bargaining agreements;
  • A preference for working in a solitary environment:
  • A preference for being organized; and
  • Demonstrated ability to work under limited supervision.

The ideal candidate will be a well-rounded individual with a history of working in an administrative setting, with prior experience working in small offices with minimal direction.
